For many years, Bakery Maier processed supplier invoices manually. Incoming invoices had to be distributed, checked, coded and archived, creating a time-intensive process that not only generated a significant administrative workload but also made location-independent collaboration more difficult.

As the business grew, it became increasingly clear that paper-based processes could no longer meet the demands of a modern working environment. The company was looking for a solution that would digitise the entire accounts payable process while integrating seamlessly into its existing system landscape.

As part of its Abacus implementation, Bakery Maier chose the DeepCloud solutions DeepO, DeepBox and DeepSign. The deciding factors were the seamless integration with Abacus, the ease of use and the ability to digitise the entire accounts payable process from end to end.

Working closely with its Abacus partner, the solution was implemented in a structured and practical way. Today, incoming invoices are captured automatically, processed digitally and routed to the appropriate people through an approval workflow. Approvals can be completed from any location, while all documents remain available digitally at all times.

The solution has become an integral part of everyday operations and at the same time provides the foundation for further digitalisation and automation projects across the business.

The results

Greater transparency and significantly more efficient processes

With DeepCloud, Bakery Maier has fundamentally simplified its accounts payable process. Incoming invoices are automatically captured, processed and transferred directly into Abacus. Thanks to predefined account coding and structured workflows, manual effort has been reduced to a minimum. Employees now only need to review and archive the invoices.

The potential is clearly illustrated by the example of the company’s main supplier, Pistor. Whereas processing a batch of invoices previously took around six hours, the process is now largely automated. Reviewing the invoices and matching them with delivery notes now takes approximately one hour. This represents a time saving of more than 80%.

As a result, Bakery Maier can dedicate valuable time to higher-value tasks, reduce administrative effort and create the foundation for a modern, scalable accounts payable function.

Looking ahead: Continuing the digital transformation

For Bakery Maier, digitalisation does not end with the accounts payable process. DeepCloud now provides the foundation for further automation projects across the business. Operational KPIs are already analysed automatically using AI, with both daily and weekly reports generated automatically.

Going forward, additional administrative processes will be intelligently automated to further reduce employees’ workload and continuously increase the organisation’s level of digitalisation.
